Charter conditions
The conditions that govern a mission.
What applies from the first quotation to the final landing — written plainly, so nothing is discovered late.
This document is published in English only. The English text is the reference version.
Charter conditions
From quotation to landing.
These conditions apply to every mission arranged by Numina Jets: private charter, medical evacuation, pilgrimage, tourism, cargo and livestock. They complete the terms of use of this website and the privacy policy. Where a written mission confirmation says something different, that confirmation prevails.
Our role
Numina Jets arranges private aviation as a charter intermediary. Flights are performed by licensed air carriers holding the air operator certificate required for the mission. We select the operator, build the brief, coordinate the ground and remain your single point of contact throughout — but we do not operate the aircraft ourselves. The operator's own conditions of carriage apply to the flight alongside these conditions, and are provided with your confirmation.
Quotations
A quotation is an indication, not a reservation. It reflects the aircraft, routing and timing available at the moment it is issued, and it remains subject to operator confirmation, slot availability, crew duty limits, overflight and landing permits and airport curfews. Unless stated otherwise, a quotation covers the flight itself, standard handling and crew costs. Items such as catering beyond the standard offering, de-icing, extended ground waiting, special permits, in-flight connectivity and ground transport are quoted separately or invoiced at cost. Each quotation states the period for which it holds.
Confirmation
No mission is booked until Numina confirms it to you in writing. A request submitted through this site, a hold placed on an empty leg, a message to the desk or a verbal agreement does not by itself create a booking. The written confirmation sets out the aircraft, routing, timing, price, payment terms and the cancellation scale that applies to that mission.
Payment
Unless the confirmation provides otherwise, the full charter price is payable before departure, and departure may be declined if it has not been received. Bank charges are borne by the payer, and payment is made in the currency stated in the confirmation. All payments are made by bank transfer to the account stated in the written confirmation; no card payment is taken through this site. Where a deposit secures an empty-leg hold, it is paid by bank transfer and deducted from the final price; if the flight cannot be confirmed by Numina, the deposit is refunded in full.
Changes requested by you
Routing, timing, passenger numbers and baggage can often be adjusted, but every change is subject to availability and may change the price. Ask the desk as early as possible: a change requested well in advance is usually absorbed, while a change close to departure may carry operator costs. Changes take effect only once Numina confirms them in writing.
Cancellation by you
Cancellation charges depend on how close to departure the cancellation occurs and on the operator's own terms for that aircraft. The applicable scale is set out in the written confirmation for each mission, and we will always state it before you commit. Cancellations must reach the desk in writing; the time of receipt determines the charge. Where a mission has already incurred non-recoverable costs — positioning, permits, catering, crew movement — those costs remain payable.
Cancellation or change by the operator
A flight may be cancelled, delayed, re-routed or operated with a different aircraft where safety, airworthiness, crew duty limitations, weather, air traffic control, airport restrictions, permits or the authority of a competent body require it. In that case we look first for an equivalent alternative acceptable to you; where none can be arranged and the mission does not take place, sums already paid for that mission are refunded, less any non-recoverable third-party costs already incurred on your instruction.
Delays and force majeure
Neither Numina nor the operator is responsible for events beyond reasonable control: weather, natural events, strikes, airspace or airport closure, war, civil unrest, epidemics, technical failure, security measures or acts of public authorities. We will keep you informed and work to restore the mission, but the resulting additional costs — extended ground handling, crew duty, parking, catering or accommodation — may be passed on where the operator charges them.
Safety and the authority of the commander
The aircraft commander holds final authority over the flight, the route, the load and everyone on board, and may refuse or interrupt carriage where safety, security, the law or the condition of a passenger requires it. This authority cannot be limited by these conditions or by any confirmation.
Passengers, documents and compliance
You are responsible for ensuring that every passenger holds valid travel documents — passport, visas, permits and any health documentation required at departure, arrival and transit. Names and dates of birth must be provided exactly as they appear on the passport, since general declarations and customs filings depend on them. Numina and the operator may carry out identity, sanctions and anti-money-laundering checks, and may decline a mission where those checks cannot be completed. Fines or costs arising from missing or incorrect documents are for your account.
Baggage
Baggage capacity depends on the aircraft, the routing and the number of passengers; the desk confirms the realistic allowance for your mission before departure. Dangerous goods may not be carried except where expressly permitted and declared in advance. Tell us about valuables, fragile items, sporting equipment, musical instruments and firearms at the briefing stage so that permits, handling and insurance can be arranged properly.
Pets and livestock
Animals travel on many of our missions, and they travel well when the paperwork is done early. Import and export permits, vaccination and veterinary certificates, approved crates and quarantine rules vary by country and can take weeks to obtain. You are responsible for the documentation; we will tell you what is required and coordinate handling, welfare and the receiving agent. An animal may be refused where the documentation is incomplete or where its condition makes carriage unsafe.
Medical missions
On a medical evacuation, clinical decisions rest with the medical team and the treating physicians, not with Numina. We arrange the aircraft, the medical configuration, the crew and the coordination between hospitals, ambulances and family. Fitness to fly is determined by the medical escort and the commander, and a mission may be postponed or re-routed on clinical grounds at any point. Medical information is handled confidentially and shared only with those who need it to operate the mission, as described in the privacy policy.
Cargo and special loads
Cargo missions require accurate documentation: invoices, customs papers, export and import permits, packing lists and insurance details. You warrant that the goods are described accurately, are lawful to carry and are packed for air transport. Prohibited and undeclared dangerous goods will not be carried. Where a chain of custody is required — art, high-value goods, sensitive equipment — it is agreed in writing before the mission and documented at each handover.
Empty legs
An empty leg exists only because of the mission that positions the aircraft. If that underlying mission changes, the empty leg may be re-timed, re-routed or withdrawn. A hold places the opportunity on stand-by while the desk works on it; it is not a confirmed flight, and price and schedule become firm only in the written confirmation.
Insurance
Operators carry the liability insurance required by their authority for passengers, baggage, cargo and third parties. That cover is not personal travel insurance: we recommend that you hold your own policy for medical expenses, repatriation, cancellation and valuables, particularly on medical and long-haul missions.
Liability
Carriage by air is governed by the international conventions that apply to it, including the Montreal Convention of 1999 or the Warsaw Convention where applicable, together with the operator's conditions of carriage. Those instruments govern the operator's liability for death, injury, delay, baggage and cargo, and they may limit it. Numina's own responsibility is that of an organiser of the mission: we answer for the care with which we select operators, build the brief and coordinate the mission. Nothing in these conditions excludes or limits any liability that cannot lawfully be excluded or limited, including liability for death or personal injury caused by negligence and for fraud.
Complaints
If something falls short, tell the desk as soon as possible and in any case promptly after the mission, with the flight details and what happened. We investigate with the operator and respond directly. Most matters are resolved this way, and we would always rather hear about them than not.
Governing law
These conditions are governed by the law of the place of registration of the Numina Jets operating entity, identified in the legal notice, without prejudice to the international conventions that govern carriage by air and to any mandatory protection available to you under the law of your country of residence. Before any formal proceedings, we ask you to contact the desk so the matter can be resolved amicably.
Amendments
These conditions may evolve as our services grow. The version that applies to a mission is the one in force when that mission is confirmed, and the current version is always published on this page.
